When you interact with us, such as when you purchase a vehicle, parts or services, you may provide us with personal information about you, such as your name, address, gender, date of birth, telephone number(s), email address(s), social media user name(s) if you communicated with us via that medium, your comments & reviews via review website(s), occupation or job title, payment and financial information, including bank details, information about your vehicle including service history and your Motability details.

You may also need to provide us with a copy of identification documents such as your passport, driving licence and/or a utility bill. These documents will include additional personal information about you such as (depending on the nature of the document) your nationality, place of birth, photograph and passport / driving licence number.

To ensure the safety of our staff, customers and suppliers and to protect our business assets, we use CCTV at each of our business locations. This would mean you may appear in CCTV footage if you attended one of our branches.

If you contact us via telephone, we may use a telephone system which records the calls to improve our service to you through training and quality improvements. The system may also provide clearness on previous conversations between you and our staff to assist with any products or services we provide.


What we use your Information for

For processing your personal data, we rely on the following legal bases:

* Contractual Obligation – This is where we use your personal data in order to satisfy our contract with you, such as arranging a vehicle collection or using a credit reference agency.

* Legal Obligation – This is where we must supply an appropriate body with your information, such as Police information requests.

* Public task – This is where we would need to process your personal information to perform a task in the public’s interest or for official functions.

* Vital Interest – As stated previously, this is where we believe we would be acting in your best and upmost interests, for example, where there has been a safety notice issued on a vehicle which we have either supplied to you or have worked on for you, we would aim to get in touch with you to advise you of these facts.

B V Rees Limited believe that we have appropriate and sufficient safeguards as well as working closely aligned to your expectations as a customer.   • Undertaking market analysis and market research (including contacting you with customer surveys and review website suggestions) to enable us to improve the service we offer and so that we can better understand you as a customer and provide bespoke offers, products and services that we think you will be interested in; ensuring that our website is presented in the most effective manner for you and your computer and tracking your use of our website through the use of cookies and log files to help us to provide an enjoyable user experience and improve and increase usage of our website;
  • Operating a CCTV system on our premises to protect the safety and security of our staff and assets;

B V Rees Limited works closely with a number of third parties in order to operate effectively, to satisfy our contractual obligations in our terms of agreement with certain suppliers such as vehicle and parts manufacturers, acting in the manufacturers legitimate interests, to keep you informed of developments related to both your car and/or vehicle manufacturers; and to inform you of/supply you with our products and services.

We would only provide the minimal information that a third party requires to undertake their specific services and for the exact purposes we have contracted with them for. We have ongoing communication with our third parties to ensure that your personal information is valued and any changes in the circumstances of the third party are informed to us. We inform our third parties to remove your personal information when we believe that our legal basis is no longer applicable.

Our third parties include our close relationships with vehicle and parts manufacturers, such as Fiat and Ssangyong.

The vehicle and parts manufacturers may use your information to inform you of developments in relation to your vehicle such as recalls and offer you additional products and services. The manufacturers may also use your information for statistical analysis and market insight. The manufacturers may also pass on your personal data to their own third parties without first obtaining your consent to assist them with their objectives.   • Finance providers, credit reference agencies and brokers (This would only be the case if you applied for finance with/through us);

  • Professional service firms, such as Legal, Accountancy, Audit service providers;
  • IT platform providers who may have access to our/your data in order to provide us ongoing products and services, such as Microsoft;

2.4 Retention period

B V Rees Limited will process and store your personal data for only as long as our legal bases still exist. The exact length of time will depend on the nature and content of the personal information. The purchase of a vehicle can be a major and long term investment for you, but one in which may change rapidly due to your circumstances in a short time. We at B V Rees Limited would like to retain you as a valued customer and ensure you have information readily available to assist you in your next purchase, whether it may be for a new or used vehicle or aftersales products and services. We also respect your privacy and have designed our data processes with your privacy at the forefront.

To this end, we have made our options for you to object to any processing or storage of your personal information to be as transparent and easy to enact through visible web links on any communication from us and straight forward access to our Data Protection Officer and Data team via email, telephone or in writing.

There is certain personal information which we also need to retain to meet our legal and regulatory compliance obligations. Your information will only be stored for the appropriate lengths of time and the minimum amount of information needed to satisfy these requirements

B V Rees Ltd is an Appointed Representative of Automotive Compliance Ltd, who is authorised and regulated by the Financial Conduct Authority (FCA No 497010). Automotive Compliance Ltd’s permissions as a Principal Firm allows B V Rees Ltd to act as a credit broker, not as a lender, for the introduction to a limited number of lenders and to act as an agent on behalf of the insurer for insurance distribution activities only.

We can introduce you to a selected panel of lenders, which includes Fiat Financial Services. An introduction to a lender does not amount to independent financial advice and we act as their agent for this introduction. Our approach is to introduce you first to Fiat Financial Services, who are usually able to offer the best available package for you, taking into account both interest rates and other contributions. If they are unable to make you an offer of finance, we then seek to introduce you to whichever of the other lenders on our panel is able to be make the next best offer of finance for you. Our aim is to secure the best deal you are eligible for from our panel of lenders. Lenders may pay a fixed commission to us for introducing you to them, calculated by reference to the vehicle model or amount you borrow. Different lenders may pay different commissions for such introductions, and Fiat Financial Services also provide preferential rates to us for the funding of our vehicle stock and also provide financial support for our training and marketing. But any such amounts they and other lenders pay us will not affect the amounts you pay under your finance agreement, all of which are set by the lender concerned. If you ask us what the amount of commission is, we will tell you in good time before the Finance agreement is executed.
